REGULATIONS
National Psychiatric Conference for Students and Doctoral Students ‘Wymiary’
§1
GENERAL PROVISIONS
- The organizer of the National Psychiatric Conference for Students and Doctoral Students ‘Wymiary’ is the Student Scientific Association at the Department of Psychiatry and Developmental Age Psychotherapy of the Medical University of Silesia in Katowice, hereinafter referred to as the Organizer.
- The Conference will be held on 24-25 October 2025 in a hybrid form on the campus of the Faculty of Medical Sciences in Katowice Ligota and via telecommunication means.
- Participation in the Conference is free of charge.
- The obligatory language during the Conference is Polish and English.
- The authors of the papers may be:
- Students of universities: first degree, second degree, uniform master's studies of all years and faculties, as well as medical interns, associated in scientific circles at medical universities;
- Participants of doctoral studies and doctoral school at universities.
- The abstracts will be qualified by the Organizational Committee consisting of the scientific staff of the Medical University of Silesia. The Committee has the right to qualify or reject applications.
§2
CONTEMPORARY SESSIONS
- The following plenary sessions are planned for the Conference:
- Session of original research;
- Session of literaturę reviews;
- Case report session;
- Brain Briefs competition.
- The topics of the submitted papers should be in line with the Conference theme and cover mental health issues.
- The maximum number of participants per session is 20.
- Depending on the number of submitted papers, the Organising Committee reserves the right to change the number and topics of the sessions.
§3
PARTICIPATION
- There are two types of participation, i.e. active and passive.
- In order to be accepted, a participant must complete the registration form available on the website.
- The active participant:
- Shall submit his/her participation and abstracts of the presented paper(s) using the registration form by the date specified in §3.2. Eligibility shall be decided by the Scientific and Organising Committee;
- May be the author or co-author of a maximum of 2 papers in one session;
- May present more than one paper;
- Shall receive a certificate of active participation;
- Take part in the paper competition.
- The passive participant:
- Registers participation via the registration form available before entering the conference on the day of the event;
- Has the opportunity to participate in the discussions of the presented works and the quiz of the competition.
- Registration forms are available on the website.
- Active participants will have priority over passive participants in registration for full-time participation in the conference and in registration for workshops held as part of the event.
- Participants listed as co-authors of presented papers will be treated as active participants.
- Qualified participants will receive a confirmation of participation at the email address provided in the registration form.
- The only proof of participation in the Conference is the Certificate issued at the end of the Conference proceedings.
- The organizers reserve the right to refuse issuing a Certificate in the event of
- The participant did not attend the conference;
- The submitted paper was not presented by its authors;
- The participant violates the provisions of these regulations and/or the regulations of the venue hosting the conference.
- The participant shall be financially responsible for any damage caused during the Conference.
- Submission of participation is tantamount to acceptance of the Rules and Regulations of the Conference and consent to the processing of personal data for the purposes of the proper organization of the Conference.
§4
REGISTRATION AND QUALIFICATION OF PAPERS
- Abstracts of papers should be submitted only in Polish or English.
- The condition for active participation is to complete the registration form available on the Organizer’s website. The deadline for registration and submission of abstracts will be published on the website.
- The organizer reserves the right to change the deadlines. Possible information will be posted on the organizer’s website.
- The content́ and form of the abstract shall be the responsibility of the Participant.
- The abstract should consist of the following parts:
- Introduction;
- Methodology;
- Results;
- Conclusions;
- In the case of case reports, ‘methodology’ and ‘results’ should be replaced by ‘case report’.
- The length of the abstract should not exceed 2000 characters and should not include figures, diagrams, drawings and photographs. The following are not included in the character limit: title, section headings and affiliations.
- Only papers not previously presented at medical conferences will be eligible.
- Qualification of the abstract is based on the evaluation of the Scientific Committee. Manuscripts that do not meet the conditions specified in §4 section 5, 6 and 7 will be disqualified.
- Works not complying with the regulations will not be considered for qualification.
- The abstract for the Brain Briefs competition session should only be in the form of a graphical abstract. Detailed guidelines can be found in §6 of the regulations.
- Each Participant will be informed of the qualification results by email no later than one month before the Conference date.
- The list of works qualified for the competition sessions will be published on the Conference website and the Conference social media no later than 24.09.2025.
§5
CONDITIONS FOR THE PRESENTATION OF ENTRIES IN THE ORAL SESSION
- Works qualified for the competition sessions should be prepared in the form of a multimedia presentation in PPTX or PDF format. The Organizer shall not be liable for software incompatibility and technical problems resulting from inadequate preparation of the presentation.
- The participant is obliged to send the multimedia presentation to the e-mail address indicated by the Organizer by the indicated deadline.
- The presentation must be prepared in Polish or English.
- The presentation may only be delivered by one of the authors of the paper.
- All authors of the paper present at the conference may participate in the discussion after the presentation of the paper.
- The first slide of the presentation should include: the names of the authors of the thesis, the title of the thesis, the name of the thesis supervisor and/or SKN and the name of the SKN.
- The maximum time for presentation is 7 minutes, for discussion 3 minutes. If the presentation time is exceeded, the Participant is obliged to go straight to the conclusions and finish the presentation as soon as possible.
- Each Participant has the right to ask questions concerning the presented work.
§6
BRAIN BRIEFS
- Objectives and conditions of participation
- The "Brain Briefs" competition session is a contest dedicated to students and doctoral candidates, involving the presentation of their research project in an accessible, engaging, and understandable manner, within a maximum duration of 3 minutes. Participants may use only one slide and are not allowed to utilize additional props or audiovisual effects. The competition aims to develop skills in scientific communication and popularizing research. The competition is open to undergraduate and postgraduate students who are conducting research related to the conference theme;
- Students and doctoral candidates conducting research related to the conference themes are eligible to participate;
- Each participant may submit only one research topic;
- Submissions must be sent by the deadline specified by the organizers via the registration form;
- Only abstracts in graphical form will be accepted for this competition session. Text-based submissions will not be considered. Detailed guidelines for graphical abstract submissions are provided in §6 section 2;
- The graphical abstract may be used for presentation.
- Graphic abstract - detailed guidelines:
- The abstract should be submitted as a file in PDF, PNG, JPG, or PPTX format with a 16:9 aspect ratio;
- The abstract must include the following elements: 1) title 2) author's name and affiliation 3) graphical content 4) main message;
- The abstract should be clear, avoiding excessive details. Information on the slide should be presented graphically, with text limited to titles and short phrases or names. Consistency in color scheme and readability of fonts will also impact the overall evaluation.
- Presentation rules
- Clarity and comprehensibility within the allotted time (30%) – logical and understandable inclusion of all critical aspects of the research work within the designated presentation time;
- Engagement and communication skills (30%) – presentation style, popular-scientific character, and avoidance or explanation of specialized terms;
- Content and graphical presentation (20%) – visual appeal of graphical illustrations and substantive accuracy of presented content;
- Practical relevance and significance of research (20%) – clear presentation of research objectives and the practical implications of results.
- Participants are required to attend the conference in person.
- Presentations will be judged by a jury according to the following factors:
- Understandability and clarity of the message (30%) - Is the presentation logical and accessible even to those outside the field?
- Engagement and communication skills (30%) - Does the participant speak confidently, interestingly and dynamically?
- Substantive content (20%) - Does the presentation present the relevant aspects of the research in a synthetic and convincing way?
- Usefulness and relevance of the research (20%) - Has the participant highlighted the relevance of his/her project in a wider scientific or social context?
- The organizers provide prizes for the best presentations.
§7
COMPETITION OF WORKS
- Each plenary session includes a Research Competition evaluated by a Jury.
- Jury members may include employees of units from the Medical University of Silesia in Katowice.
- Elements of work assessed by the Jury include: substantive value, presentation style, adherence to the allotted presentation time, approach and form of discussion, and original creative contribution to the work's preparation.
- Jury members cannot evaluate works for which they are academic supervisors or in cases where another conflict of interest exists.
- Three works will be awarded in each session.
- Authors of the best works will receive a material prize and a diploma specifying the session, authors, presenter, supervisor, title, and placement achieved.
- Decisions of the Jury in competition sessions are final and cannot be appealed.
§8
FINAL PROVISIONS
- The Organizer reserves the right to make changes to the conference regulations and schedule without providing a reason.
- The Administrator of Personal Data is the Medical University of Silesia in Katowice, ul. - Current contact details for the Data Protection Officer are available at phone: 32 208 3630 or on the website;
- Personal data is processed for the purpose of registration and participation management in the 1st National Psychiatric Conference for Students and Doctoral Candidates "Wymiary," based on Art. 6 section 1(a) of the GDPR Regulation, i.e., provided consent for personal data processing;
- Recipients of personal data are authorized employees of the Medical University of Silesia in Katowice and student organizers authorized to process personal data, as well as other public authorities legally entitled to request access to personal data;
- The Medical University of Silesia does not intend to transfer personal data to third countries;
- Data will be stored no longer than necessary for the purposes of processing. In justified cases, the retention period is determined based on the Rector's Regulation No. 79/2007 dated 31.08.2007, as amended, "Chancellery Instruction for the Medical University of Silesia in Katowice";
- You have the right to request access to your personal data, its correction, deletion, or restriction of processing, as well as the right to object to processing and the right to data portability;
- You have the right to withdraw your consent at any time without affecting the lawfulness of processing based on consent before its withdrawal;
- You have the right to lodge a complaint regarding personal data processing with the supervisory authority;
- Providing personal data is voluntary. Failure to provide personal data will make it impossible to register and participate in the 1st National Psychiatric Conference for Students and Doctoral Candidates "Wymiary";
- Automated decision-making does not apply to the processing of the provided personal data;

- Issues not covered by the Conference Regulations will be decided by the Organizing Committee through voting.
